Job Responsibilities

The Payroll Administrator plays a critical role in ensuring accurate, compliant, and timely payroll processing for National Vision's multi-entity, multi-state workforce.

What Would You Do? The Specifics.

  • Performs a wide variety of record-keeping and payroll processing activities, including computing wage and overtime payments and calculating and recording payroll deductions.
  • Reviews payroll outputs, audit reports, and exception logs to validate earnings, deductions, and tax calculations.
  • Resolves discrepancies in a timely manner by partnering with UKG and the internal team.
  • Partner with the team and UKG on issue resolution, system enhancements, and process optimization.
  • Provides excellent customer service and support to associates and management via phone, email, and ServiceNow on payroll-related issues—demonstrating responsiveness, urgency, and curiosity.
  • Reviews, enters and reconciles into the payroll system garnishments, tax levies and child support orders.
  • Supports Human Resources by providing payroll support with new hires, terminations, promotions, demotions, transfers, department changes, and pay changes.
  • Processes manual checks and stop payments and researches and analyzes payroll adjustment requests in accordance with established policies.
  • Coordinate with HR, Finance, and Operations to ensure alignment of employee data and payroll outcomes.
  • Runs and analyzes reports and sends them to third-party and internal partners such as Finance and Benefits.
  • Inputs sign-on bonuses, retention bonuses, and referral bonuses.
  • Maintain strong internal controls over payroll processes, including data validation and reconciliation procedures.
  • Assist with year-end activities, including W-2 review and distribution.
  • Assist in documenting payroll processes and maintaining standard operating procedures.
  • Assist in identifying opportunities to improve payroll accuracy, efficiency, and scalability.

 

    Preferred Qualifications

    Work Experience

    • 3+ years payroll experience and/or training or equivalent combination of education and experience (Required)
    • 2-4 years Supporting multi-entity, multi-state payroll processing (Required)
    • 2-4 years UKG Pro Pay (web) experience (Preferred)
    • 2-4 years Payroll for retail or distributed workforce experience (Preferred)
    • Experience working with case management/ticket tracking software such as ServiceNow. (Preferred)
    • Experience working with outsourced payroll models or managed services providers. (Preferred)

    Education

    • High school diploma or equivalent. plus specialized schooling and/or on-the-job education in a specific skill area; E.G. data processing, clerical/administrative, equipment operation, etc.

    Licenses, Certifications, Professional Affiliations

    • Fundamental Payroll Certification (FPC) (Preferred)
    • Certified Payroll Professional (CPP) (Preferred)
